Controller of Examinations

Location : Ajeenkya DY Patil University, Pune
    Key Responsibilities:
      1. Examination Planning and Management:
    • Oversee the planning, scheduling, and administration of all university examinations, including semester exams, entrance tests, and other assessments.
    • Ensure that examination timetables are prepared and communicated well in advance to all stakeholders.
    • Manage the logistical aspects of exams, including room allocation, invigilation, and distribution of examination materials.

    2. Question Paper Management:
    • Supervise the process of setting, moderating, and finalizing question papers, ensuring they meet academic standards and are aligned with the curriculum.
    • Ensure the confidentiality and security of question papers from the time of preparation to the administration of exams.
    • Coordinate with faculty and external examiners for the preparation and review of question papers.

    3. Examination Conduct and Supervision:
    • Ensure the smooth conduct of examinations, including the enforcement of examination rules and regulations.
    • Oversee the appointment and training of invigilators and examination staff.
    • Address any issues or irregularities that arise during examinations, ensuring prompt resolution.

    4. Evaluation and Result Processing:
    • Supervise the evaluation process, ensuring that it is fair, accurate, and completed within the stipulated time frame.
    • Oversee the processing and publication of examination results, ensuring accuracy and transparency.
    • Manage the process of re-evaluation, re-checking, and handling of student grievances related to examination results.

    5. Certification and Record Management:
    • Ensure the timely issuance of academic transcripts, mark sheets, and degree certificates to students.
    • Maintain accurate and secure records of all examination-related data, including results, question papers, and attendance.
    • Oversee the digitization and archiving of examination records for easy access and retrieval.

    6. Policy Development and Implementation:
    • Develop and implement examination policies, procedures, and guidelines to ensure consistency and adherence to academic standards.
    • Regularly review and update examination policies to reflect changes in academic requirements and regulatory standards.
    • Ensure compliance with all regulatory bodies, such as UGC and AICTE, concerning examination conduct and reporting.

    7. Technology and Process Improvement:
    • Implement and manage examination management software and other technological tools to enhance the efficiency and security of examination processes.
    • Identify and implement process improvements to streamline examination operations and reduce the likelihood of errors.

    8. Coordination with Academic Departments:
    • Liaise with academic departments to ensure that examination schedules, question papers, and evaluation processes align with academic requirements.
    • Work closely with faculty to address any issues related to examinations and assessments.
    • Provide guidance and support to departments in implementing best practices for examinations.

    9. Quality Assurance and Continuous Improvement:
    • Ensure that all examination processes meet the highest standards of quality and integrity.
    • Conduct regular audits and reviews of examination processes to identify areas for improvement.
    • Promote a culture of continuous improvement within the examination department.

    10.Stakeholder Communication:
    • Communicate effectively with students, faculty, and staff regarding examination schedules, results, and policies.
    • Address and resolve any queries or concerns related to examinations in a timely and professional manner.


    Qualifications:
    • A master’s degree in a relevant field.
    • Extensive experience in examination management or academic administration, preferably in a higher education institution.
    • Strong knowledge of examination policies, procedures, and regulatory requirements in India.
    • Excellent organizational, communication, and leadership skills
    • Proficiency in using examination management software and other relevant technologies.
    • Ability to handle sensitive information with the utmost confidentiality and integrity.

    Desirable Attributes:
    • Experience with digital examination platforms and online assessments.
    • Familiarity with accreditation processes and quality assurance in higher education.
    • Strong problem-solving and decision-making abilities.
